1. Appointment Cancellations & Fees

  • Free rescheduling/cancellation is available if requested at least 24 hours before the scheduled appointment.

  • Late cancellations (under 24 hours) or no-shows may incur a cancellation fee, which must be paid before scheduling future appointments.
    Clinics often set this between ₹500–₹2,000 or a flat fee per treatment hour

  • Emergencies (e.g. illness, family matters) may be exempted at the clinic’s discretion.


2. Prepaid Services & Refund Eligibility

  • Refunds apply only when:

    • The clinic cancels or reschedules the appointment.

    • Advance payment errors (e.g., double payment via card).

  • No refunds for any portion of the fee once the service (consultation, diagnostics, treatment) is rendered


3. How to Request a Refund

  • Submit a written refund application within 7–30 days of payment, depending on service type. Include:

    1. Appointment details (date, service).

    2. Payment receipt.

    3. Medical reasons, if applicable.

  • Clinic reserves the right to verify and approve refunds. Services like consultations, diagnostics, and treatment planning are generally non-refundable .


4. Deductions & Charges

  • Consultation and diagnostics: fees are non-refundable.

  • Lab charges (crowns, dentures, aligners) may be deducted, especially if prostheses have been ordered or manufactured

  • Sample clinic deductions:

    • ₹5,000 for aligners/implant/orthodontic treatments;

    • ₹3,000–₹10,000 for others, based on total cost


5. Mode & Timeline for Refunds

  • Refunds are processed via the original payment method or bank transfer.

  • Timeframes by clinic:

    • 5–7 working days

    • Up to 10–30 days for bank credits


6. Product Returns

  • Unopened, unused dental care items can be returned within 7–14 days.

  • Opened or used products and custom items are non-refundable


7. Dispute & Appeals

  • If dissatisfied with a refund decision, patients can appeal within 7 days. These will be addressed promptly.


8. Policy Updates

  • Smile Dental reserves the right to modify this policy.

  • All changes become effective upon posting with the updated date.
